Account and Users
Invite dealership staff, assign admin, technician, and support roles, and remove access when someone leaves.
Dealership admins control who can sign in to your GTRV Dealer account and what each person can do. This page covers inviting teammates, choosing the right role, and revoking access safely.
Roles you assign
The portal uses three operational roles for dealership staff. Assign by job function, not job title alone.
| Role | Who typically gets it | Primary work in the portal |
|---|---|---|
| Admin | Owner, general manager, IT lead | Full dealership configuration, user management, tier-sensitive actions, network setup (for Distributor). |
| Technician | Shop floor, RMA bench | Service Orders, Warranty Claims, checklists, ticket assignment as Technician. |
| Support | Front desk, customer care | Support Tickets — New Ticket, conversation, triage, assigning Technician on tickets. |
Admins should keep at least two people with admin access so the account is not locked out if one person leaves.
Open user management
Open Settings
In the sidebar footer, choose Settings (Manage your dealership profile and preferences) or View Profile from the account menu.
Go to Users
Open the Users (or Users & Permissions) section for the active dealership account.
Review the member list
The table lists everyone linked to this dealership: name, email, role, and status. Filter or search when the team grows beyond a handful of users.
Invite a new teammate
Start the invite
Click Invite member (or Add New User). A drawer opens for the new account member.
Enter identity fields
Provide Full Name, Email Address, and Phone Number with country code. Email is the sign-in identifier across all GTEEX portals.
Choose a role
Select Admin, Technician, or Support. You can promote or demote later except where the portal blocks removing the last admin.
Send the invite
Use Send Invite or Generate Password so the teammate receives credentials. They will complete first sign-in and may see Select your account if they belong to multiple dealerships.
Change roles or remove access
Edit a role
- Find the user in the member list.
- Open row actions → Edit or Change role.
- Pick the new role and save.
Role changes apply on the next request; ask the user to refresh if they still see disabled actions.
Remove a member
- Open row actions → Remove or Delete member.
- Confirm in the modal — removal cannot be undone from the UI.
Effects of removal:
- The user loses sign-in access to this dealership only; other linked accounts are unchanged.
- Open Tickets and Service Orders keep historical attribution (timeline still shows their name).
- Technician assignments on open tickets should be reassigned before removal when possible.
What each role cannot do
Use this checklist when auditing permissions:
- Technician — should not manage billing, network hierarchy, or user invites.
- Support — should not edit ERP diagnosis on service orders unless cross-trained.
- Admin — can do all of the above; restrict admin count to people who need it.
Detailed API enforcement uses dealership manager and technician enums on the backend; see Dealer roles.
Multi-account staff
Regional leads often appear on more than one dealership card in Switch Account:
- Invite the same email to each dealership with the role appropriate per account (admin at HQ, support at a branch, etc.).
- Each account has its own member list — removing someone from Branch A does not remove them from Branch B.
